Who we are

Napkin AI, Inc. provides Napkin. Napkin is an AI site operator that helps store staff.

This policy explains how we handle personal information. Our website is https://trynapkin.com/.

Information we collect

• Account information from app users.
• Website usage.
• In-store counter audio captured by Napkin beacons (edge devices), and the transcripts made from that audio, on behalf of the stores that use Napkin.

In-store audio

A small Napkin beacon (an edge device) at the counter captures audio. Staff and customer voices at the counter are included. Napkin is an AI note taker and an AI site operator. It writes transcripts and notes to help store staff serve customers and improve products.

Shoppers can ask staff to pause capture.

The store is responsible for notice, consent, and following the law where it operates. The store posts the notice, and the store handles staff training and written acknowledgement with its own counsel.

Raw audio is automatically deleted within 7 days. Clips with no speech are deleted sooner. Transcript retention and deletion requests are covered under How long we keep it.

Napkin does not guarantee legal compliance.

For stores

Here is a practical way to handle notice and staff acknowledgement. Your counsel should review it for the places you operate.

• Post a clear notice at the counter, and ideally at the entrance, where people can see it. Napkin can help a store set up those notices and can point people at trynapkin.com/in-store for the QR code.
• Tell staff during onboarding that audio at the counter is captured, and get written acknowledgement. The store handles staff training and that acknowledgement itself, with its own counsel.
• Ask your own counsel which recording laws apply where you operate. California is an all-party consent state.
• Keep beacons away from restrooms and break rooms.

Napkin is open to configuring capture settings with a store when the store asks. We can answer setup questions. We do not give legal opinions. Napkin does not guarantee legal compliance.

How we use it

We use this information to provide and improve the service, to help store staff serve customers, to improve products, for security, and to meet legal duties that apply to Napkin.

What we do not do

Napkin's policy is that we don't use this audio to discipline staff. That is a policy intent, not a technical guarantee.

There is no voice identification. Napkin does not use voiceprints or identify who is speaking by voice.

Napkin does not identify shoppers.

Sharing

We share personal information with these kinds of service providers:

• Cloud hosting.
• Speech-to-text transcription and AI providers that process audio and transcripts to produce transcripts, reports and answers.
• Email delivery for reports sent to store staff, which may include short excerpts.

We share personal information when the law requires it.

We may share personal information in a business transfer, such as a merger or a sale of assets.

Sale of personal information

We do not sell personal information.

How long we keep it

Raw audio is automatically deleted within 7 days.

Clips with no speech are deleted sooner.

Clips with no conversation are deleted automatically.

How long transcripts are kept: to be confirmed.

Deletion: to be confirmed.

Deletion of a specific conversation may require the store, location and approximate time of the visit. Deletion requests go to privacy@trynapkin.com. We do not promise a turnaround time.

Your rights

You can ask to know, delete, or correct personal information about you. You can opt out of sale or sharing. We will not discriminate against you for making a request.

If you live in California, these rights include the rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA).

Security

We use reasonable safeguards designed to protect personal information.

Children

Napkin is not directed to children under 13.

Changes to this policy

We may update this policy. When we do, we change the date at the top of this page.
